How to organize your Downloads folder and Desktop on a Mac
By Vishva Variya · Updated · 5 min read
Short answer
For the Desktop, Control-click it and choose Use Stacks to group files by kind. For Downloads, choose View › Use Groups in Finder, group by Kind or Date Added, file what you keep into subfolders and trash the rest. To keep it tidy, use a Folder Action or an app that organizes on a schedule.
How do I clean up my Mac Desktop quickly?
- 1Click the Desktop, then choose View › Use Stacks in the menu bar (or Control-click the Desktop and choose Use Stacks).
- 2Files pile into stacks by kind: images, PDFs, screenshots, documents.
- 3Click a stack to open it, and choose View › Group Stacks By to group by date instead.
Stacks tidy what you see but don’t move anything: the files are still on the Desktop. To really clear it, file them into folders or move them to the Trash.
How do I organize my Downloads folder?
- 1Open Downloads in Finder (⌥⌘L).
- 2Choose View › Use Groups, then View › Group By › Kind (or Date Added).
- 3Delete what you don’t need: old installers (.dmg, .pkg) once the app is installed, and zips you’ve already opened.
- 4Make subfolders for what you keep (Invoices, Photos, Work) and drag files in, or move them to Documents.
Sorting by Date Added shows the oldest downloads first. Anything you haven’t opened in months is a good candidate for the Trash; see where your downloads are if files land elsewhere.
Can a Mac organize a folder automatically?
Partly. Finder’s Folder Actions run an Automator workflow whenever a file is added to a folder, so you can, for example, move every new PDF in Downloads into a PDFs subfolder. Build one in Automator (choose Folder Action, pick the folder, add Filter Finder Items and Move Finder Items), then save it. Smart Folders (File › New Smart Folder) don’t move anything, but show every file matching a rule, like “Kind is Image, Date Added is within the last week”, wherever it is.
How should I structure my folders?
- Keep few top-level folders: Documents, Projects, Photos, Archive.
- Name folders by what you’d look for later, not by date alone.
- Treat Downloads and Desktop as inboxes: empty them every week or two.
- Archive finished projects into one folder rather than deleting what you might need.
Organizing Downloads and Desktop with Peekaboo
Peekaboo’s Organize sorts a folder’s loose files into subfolders by kind or by month, and shows every move before anything happens. Keep Organized tidies Desktop, Downloads or any folder you choose every few hours, and a Routine can act when a file arrives. Code projects, apps and files still in use are left alone, and every organize can be undone from Activity (⇧⌘Y). Prefer to ask? The Assistant takes “tidy my Desktop” and shows its plan first.
- 1Choose Organize and pick Downloads or the Desktop.
- 2Choose by kind or by month and check the preview of every move.
- 3Organize. Turn on Keep Organized to repeat it every few hours, or undo it from Activity.⇧⌘Y
Questions
Is it safe to delete everything in my Downloads folder?
- Usually most of it, but check first: people often keep the only copy of a document or photo there. Sort by Kind and review before emptying it.
Why is my Mac Desktop full of screenshots?
- macOS saves screenshots to the Desktop by default. Press ⇧⌘5, click Options and choose another folder under Save to. See [where screenshots go](/guides/where-do-screenshots-go-on-mac/).
Do Stacks move my files?
- No. Stacks only group how the Desktop looks. Turn them off and every file is back in place.
