Mac search not finding files? How to fix Spotlight and Finder search
By Vishva Variya · Updated · 5 min read
Short answer
First check that Finder is searching This Mac, not just the current folder, and that the folder isn’t excluded in Spotlight’s privacy settings. Then check the index with mdutil -s / in Terminal. If indexing is on but results are still missing, rebuild the index: add the disk to Spotlight Privacy, remove it again, and let macOS re-index.
Is Finder searching the right place?
When you press ⌘F in a Finder window, the bar under the toolbar shows This Mac and the current folder’s name. If the folder is selected, the search never leaves it. Click This Mac. Searches also skip system folders and the inside of app bundles, and files that exist only in iCloud show up only when you search iCloud Drive too.
Is the folder excluded from Spotlight?
- 1Open System Settings and find the Spotlight settings (called Spotlight, or Siri & Spotlight on older versions).
- 2Click Spotlight Privacy (or the Privacy button).
- 3If the folder or disk you’re searching is in the list, select it and remove it with the − button.
Also make sure the categories you need (Documents, Images, PDF Documents and so on) are turned on in the same settings.
Is indexing turned on?
This prints whether Spotlight is indexing your startup disk:
mdutil -s /“Indexing enabled.” is what you want. “Indexing disabled.” means nothing on that disk can be found; turn it back on with sudo mdutil -i on /.
How do I rebuild the Spotlight index?
- 1In Spotlight Privacy, click + and add Macintosh HD (or the disk that’s misbehaving).
- 2Wait a few seconds, then select it and click − to remove it.
- 3macOS starts re-indexing. Search results are incomplete until it finishes, which can take an hour or more on a full disk.
sudo mdutil -E /The Terminal equivalent erases and rebuilds the index for the startup disk:
Search works, but only by file name. Why?
Spotlight reads inside documents only when an importer for that file type is installed, so some formats are searchable by name alone. Text in images is read on-device by Live Text, but how much of it Spotlight returns for files in Finder folders varies.
A search that tells you what it understood: Peekaboo
Peekaboo searches the same Spotlight index, so fix the index first. What it adds: you type the search in plain English, it shows the filters it heard as chips you can fix, and it runs its own on-device text recognition on screenshots and PDFs, so the words in images are searchable even when Spotlight skips them.
- 1Press ⌘F and type what you remember: “pdfs from last week over 5 MB”.⌘F
- 2Check “Understood as …” and fix any chip that’s off.
- 3Use Quick Search from any app.⌥Space
Questions
Is it safe to rebuild the Spotlight index?
- Yes. It only rebuilds the search database; no files are touched. Expect slow or incomplete results and some extra CPU use until it finishes.
Why doesn’t Spotlight find files on my external drive?
- External drives can be excluded in Spotlight Privacy, and some formats (like some network shares) aren’t indexed at all. Check mdutil -s /Volumes/DriveName.
Why is Spotlight using so much CPU?
- It’s indexing, usually after an update, a restore or an index rebuild. It settles once indexing is done.
